How To Accept or Decline a Job Offer Professionally

What you do between offer and start date affects your reputation for years. Templates for accepting, declining and asking for time.

The offer stage is short, and it is where avoidable damage happens: candidates accept verbally then disappear, decline by going silent, or accept two offers and choose later. The industry in any Ethiopian city is smaller than it looks, and recruiters remember.

Before you answer anything, get it in writing

Request the full written offer and check:

  • Job title, reporting line and place of work.
  • Basic salary and each allowance, stated separately.
  • Probation length and the notice period during and after it.
  • Working hours, leave entitlement and any shift or weekend expectation.
  • Benefits: medical cover and whether it extends to dependants, pension, transport, any bonus.
  • Any bond, training-repayment clause or non-compete.
  • Start date.

If something discussed verbally is missing, ask for it to be added before you accept. Once you sign, the written document is the agreement.

Asking for time

Two to five working days is a normal request and is not held against you.

Thank you very much — I am delighted to receive this offer. Could I have until Thursday to review the details properly? I want to give you a firm answer rather than a quick one.

If you are waiting on another process, be honest without leverage-playing: "I am at final stage with one other organisation and expect to hear by Wednesday. I would rather tell you that than keep you waiting without explanation." Most employers respect this. Inventing a deadline that does not exist is the version that goes wrong.

Accepting

Dear Ms. Alemu,

Thank you for the offer of the Programme Officer position. I am pleased to accept on the terms set out in your letter of 14 May — a monthly gross salary of ETB 28,000 with the allowances listed, starting on 1 June.

I have attached the signed offer letter. Please let me know what documents you need before my start date, and I will provide them this week.

I am looking forward to joining the team.

Restating the key terms is not pedantic — it is how genuine misunderstandings get caught before day one.

Declining

Reply promptly. A fast, gracious no lets them go to their second choice and keeps the relationship intact for the next opening.

Dear Mr. Tadesse,

Thank you for the offer and for the time your team invested in the process. After careful thought I have decided to accept another role that is a closer fit with the technical direction I want to take.

It was a genuine pleasure meeting the team, and I hope our paths cross again.

You do not owe anyone a detailed justification. One honest sentence is enough. Do not disparage the salary or the process on the way out.

Things not to do

  • Accept two offers. It will be discovered and it ends a reputation quickly.
  • Go silent. Employers hold roles open for candidates who never reply, and they remember the name.
  • Renegotiate after accepting. Everything is negotiable before you accept and nothing is after.
  • Resign before the written offer is signed. Verbal offers are occasionally withdrawn.
  • Ignore your notice period. Check your current contract, including any bond or training-repayment clause.

Between acceptance and day one

Send your documents promptly, confirm your start time and reporting location, ask whether there is anything useful to read in advance, and resign properly from your current role in person and then in writing. If your start date needs to move because of a notice period, raise it immediately rather than a week before.

None of this takes long. It is simply the difference between an employer who would hire you again and one who would not.
