Job Description

Job Summary

 

The IT Manager is responsible for planning, implementing, securing, and maintaining the organization's information technology infrastructure, including enterprise systems, ERP applications, networks, cloud services, GPS fleet tracking systems, CCTV/camera surveillance systems, cash register (POS) systems, electronic invoicing (e-Invoicing) platforms, corporate email and collaboration systems, company website and digital platforms, social media system administration, and end-user computing.

 

Key Responsibilities

IT Infrastructure & Operations

  • Develop and implement the organization's IT strategy aligned with business objectives.

  • Manage and maintain IT infrastructure, including servers, networks, storage, internet connectivity, cloud services, and data centers.

  • Ensure high availability, reliability, and performance of all IT systems.

  • Manage hardware and software procurement, installation, upgrades, and lifecycle.

ERP System Management

  • Administer, maintain, and optimize the organization's ERP system.

  • Coordinate ERP upgrades, testing, and user acceptance.

  • Work closely with department heads to improve ERP workflows and business processes.

  • Ensure ERP data integrity, security, backup, and system performance.

  • Coordinate with ERP vendors and consultants to resolve issues and implement enhancements.

  • Train users and provide technical support for ERP modules.

GPS Fleet Management System

  • Manage and support the organization's GPS vehicle tracking system.

  • Monitor GPS system performance and ensure continuous availability.

  • Coordinate maintenance and troubleshooting of GPS tracking devices.

  • Generate and analyze GPS reports to support fleet operations and management.

  • Liaise with GPS service providers for technical support and system enhancements.

 

CCTV / Camera Surveillance System

  • Manage and maintain all CCTV, IP cameras, NVR/DVR systems, and surveillance infrastructure.

  • Ensure continuous monitoring, recording, storage, and retrieval of surveillance footage.

  • Coordinate installation, maintenance, and upgrades of camera systems.

  • Work with security and management teams to support investigations and incident reviews.

  • Ensure camera systems comply with organizational security policies and applicable regulations.

Cybersecurity & Risk Management

  • Develop and implement cybersecurity policies and best practices.

  • Protect the organization's networks, servers, ERP systems, and endpoints from cyber threats.

  • Manage firewalls, antivirus solutions, endpoint protection, VPNs, and access controls.

  • Conduct security assessments, vulnerability management, and incident response.

  • Ensure regular backups and disaster recovery readiness.

Cash Register (POS) Systems Management

  • Manage, administer, and support all cash register/POS (Point-of-Sale) systems across the organization.

  • Ensure the continuous availability, security, and proper functioning of POS hardware, software, receipt printers, barcode scanners, and related peripherals.

  • Coordinate installation, configuration, maintenance, upgrades, and troubleshooting of cash register systems.

  • Manage user access, permissions, and security controls for POS systems.

  • Monitor transaction system performance and coordinate with finance and operations teams to resolve technical issues.

  • Ensure proper integration between POS systems, ERP, inventory management, and financial systems.

  • Coordinate with POS vendors and service providers for maintenance, licensing, and technical support.

  • Maintain documentation, system configurations, and backup procedures for POS environments.

 

Electronic Invoicing (e-Invoicing) System Support

  • Manage and support the organization's electronic invoicing (e-Invoicing) platform and related integrations.

  • Ensure seamless integration between the ERP system, POS/cash register systems, and government e-Invoicing platforms.

  • Monitor the successful generation, transmission, validation, and storage of electronic invoices.

  • Troubleshoot and resolve e-Invoicing system issues to minimize business disruption.

  • Coordinate with finance, tax, and regulatory authorities (where applicable) to ensure compliance with electronic invoicing requirements.

  • Manage software updates, configuration changes, and testing for e-Invoicing solutions.

  • Work with ERP and e-Invoicing vendors to implement enhancements and regulatory updates.

  • Provide user training and technical support for finance, sales, and operations staff on e-Invoicing processes.

  • Ensure secure storage, backup, and retrieval of electronic invoice records in accordance with organizational policies and legal requirements.

Company Email & Collaboration Systems

  • Manage and administer the organization's corporate email systems (e.g., Microsoft 365, Exchange Online, Google Workspace, or other email platforms).

  • Create, modify, and deactivate employee email accounts and distribution groups in accordance with organizational policies.

  • Ensure the security, availability, backup, and integrity of company email services.

  • Manage email security solutions, including spam filtering, phishing protection, email encryption, and data loss prevention (DLP).

  • Monitor email system performance and resolve email delivery, synchronization, and authentication issues.

  • Implement and maintain email archiving, retention, and disaster recovery procedures.

  • Provide technical support and user training for corporate email and collaboration tools such as Microsoft Teams, SharePoint, OneDrive, Google Drive, and other collaboration platforms.

  • Manage email domain configurations, DNS records (MX, SPF, DKIM, DMARC), and SSL certificates to ensure secure email communication.

Company Website & Social Media Systems Support

  • Manage the technical administration, hosting, security, availability, and performance of the company's official website and web applications.

  • Coordinate website updates, system maintenance, backups, and security patching.

  • Work with management, marketing, and communications teams to publish and update website content.

  • Provide technical administration and access management for the organization's official social media accounts (Facebook, LinkedIn, X, Instagram, YouTube, Telegram, TikTok, and other approved platforms).

  • Ensure secure access to company social media accounts through role-based permissions and multi-factor authentication (MFA).

  • Maintain an inventory of all company digital platforms, domains, hosting services, and social media accounts.

  • Coordinate with marketing and communications teams to ensure timely publication of company announcements, campaigns, events, products, and corporate information.

  • Monitor website and social media availability and coordinate with external vendors or developers to resolve technical issues.

  • Ensure compliance with the organization's branding, cybersecurity, information security, and digital communication policies across all online platforms.

  • Maintain documentation of website configurations, hosting environments, domain registrations, SSL certificates, and digital platform credentials in accordance with IT security policies.

IT Support & Service Delivery

  • Lead and supervise the IT support team.

  • Ensure timely resolution of technical issues through an effective help desk process.

  • Provide technical support for computers, printers, mobile devices, communication systems, ERP, GPS, Cash Register(E-invoicing) and CCTV systems.

  • Develop IT policies, procedures, and user documentation.

Project & Vendor Management

  • Plan and manage IT projects from initiation to completion.

  • Manage relationships with technology vendors and service providers.

  • Evaluate new technologies and recommend solutions that improve operational efficiency.

  • Monitor IT budgets and control technology-related expenditures.

Compliance & Documentation

  • Ensure compliance with organizational policies, information security standards, and relevant regulations.

  • Maintain accurate documentation of IT infrastructure, ERP configurations, network diagrams, CCTV layouts, GPS systems, licenses, cash register, pos machines and IT assets.

  • Develop and test business continuity and disaster recovery plans.
